SeedRoot — Privacy Policy

SeedRoot ("the app") is an internal farm-operations application operated by IRA Software ("we", "us") for staff and partner farmers of our maize contract-farming program. This policy explains what information the app collects, why, and how it is protected. The app is intended for authorised staff (village assistants, supervisors, accountants, owners) — it is not a general consumer service and does not offer self-service sign-up.
Information we collect
- Account information — staff name, mobile phone number, role, assigned villages, and a login PIN (stored only as a secure hash).
- Location data (including background location) — Village Assistants and Supervisors can explicitly agree to share GPS location with authorised owners and accountants for coordinating and verifying field work, approximately every 30 seconds subject to Android and network conditions. Separate prominent disclosures appear before foreground permission and background permission/settings. On Android, collection starts only after current disclosure consent and both permission grants; a persistent notification is shown while the service runs. It can continue with the screen locked or app closed, in both Supervision and Operational sections. Collection stops on decline, missing consent, logout, deactivation, expired/revoked login, a change to an untracked role or permission revocation. Updated disclosures require renewed consent even if Android permissions were previously granted. Field-survey GPS trails are captured only with valid consent/permissions. Stored survey maps and plot directions do not collect the employee's current location. Location is not used for advertising.
- Photos — photos of crops/fields taken with the camera or attached from the gallery for crop-damage inspections and survey records.
- Farmer program records — information entered by staff about enrolled farmers to run the program: name, phone number, village, identity number used for de-duplication, land/survey details, advances, harvest and payment records, and bank account details used to make farmer payments.
Why we collect it
- To operate the contract-farming program: farmer enrollment, field surveys, input distribution, advances, harvest settlements and payments.
- To coordinate and verify field work, including consented live location of on-duty Village Assistants and Supervisors.
- To pay farmers and staff through our payment provider (RazorpayX), which receives only the details needed to process a payout (name, bank account, amount).
- To keep proper accounts and meet legal/audit obligations.
What we do NOT do
- We do not sell or rent any personal data.
- We do not share data with advertisers, and the app contains no advertising or third-party analytics/tracking SDKs.
- We do not collect location when the assistant is logged out.
Sharing
Data is shared only with: (a) our payment provider, RazorpayX, to process payouts; (b) service providers that host our servers; and (c) authorities where the law requires it. All are bound to use the data only for those purposes.
Security
All data travels between the app and our servers over encrypted connections (HTTPS/TLS). Access is protected by role-based logins; PINs are stored only as secure hashes. Data is stored on our servers hosted in India (AWS, Mumbai region).
Retention & deletion
Program records are retained as long as needed for the farming program and statutory accounting periods. Staff may update their own contact and bank details in the app. To request correction or deletion of personal data (including account deletion for staff who leave the program), contact us below — we respond within 30 days.
Children
The app is for adult staff and program farmers only and is not directed at children under 18.
Changes
If this policy changes, the updated version will be posted at this address with a new "Last updated" date.
